Working with the Leadership Team, The Administrative Lead is responsible for organizing and coordinating office operations for optional effectiveness and efficiency.
The Admin Lead is responsible for the day-to-day activities of the office, building culture and patient and employee relations; ensuring regulatory compliance; staff training and project implementation.
The position requires passion, dedication, a positive outlook, a cheerful disposition and strong work ethic.

Practice
Responsibilities:
Answer the telephone.
Screen calls, take messages, and answer inquiries.
Pass new patient calls to the person responsible for them or take the call.
Enter complete information in the computer that is needed on each new patient.
Print information for initial packet and send.
Greet patients and make them feel welcome in our office.
Follow up on all patients on the No Show report.
Complete emergency information when emergency patients call.
Responsible for new patients' smooth transition into the practice and communication with specialists Take care of patient complaints and concerns that the doctor or staff does not wish to handle.
Front Desk Management Oversee policies and protocols for the front office Set goals and with the help of appropriate advisors, plan courses of action to achieve goals.
Schedule routine meetings with advisors and staff to analyze the progress of the practice; make adjustments as needed Have complete understanding of all computer reports (e.
g.
End of Day, End of Month, Adjustments, AR, Deposit Summary Report, Ledger Report, Patient Tracking Systems, Referral Reports) Schedule Management:
Follow appointment masters as determined by the doctor and staff.
Keep a calendar of patient hours, vacations, etc.
Keep pre-treatment recall and retention systems up-to-date.
Send any follow-up letters.
Prepare the morning meeting report for the next day.
Organize and facilitate the morning staff meeting.
Check Daily Collections New Patient Management:
Accept new patient phone calls if there is no New Patient Coordinator available.
Enter complete information in the computer that is needed for each new patient.
Do everything necessary to make the caller feel welcome.
Prepare new patient welcome packet for patients for their arrival for the exam if not handled by New Patient Coordinator Pull any appropriate x-rays and sibling records before the exam if not handled by New Patient Coordinator Greet new patients for the examination appointment.
Complete health history if not already submitted online.
Show patients and parents the office and ensure photos and a pan are taken on each patient.
Review the health history and chief concern.
Note allergies to medication, history of trauma, and pre-medication requirements.
Introduce the doctor to the patient and parent.
Share all the information the patient/parent told you earlier.
Complete the questionnaire in the computer After the doctor's exam, review the treatment fee estimate and explain the records procedure.
Discuss the payment options, the Contract and the Informed Consent with the patient/parent.
Make certain that the treatment card, letter, and contract are completed.
Schedule treatment appointments.
Answer questions from new patients throughout the new patient process.
Process the post-exam letter to the patient and general practitioner.
Professional Relations Management:
Marketing responsibilities for mugs, birthday cakes, wooden nickels, drawing for parents, bulletin boards, office decorations, open house, game boys with tethers on deck.
Serve as liaison with The Agency regarding gifts for referrers.
Take responsibility for gift distribution.
Employee Relations:
Conduct performance reviews Mediate and guide through conflict resolution when needed Ensure proper orientation and onboarding is provided for all new employees Skill/Abilities:
Interpersonal:
Good interpersonal skills to maintain effective rapport with patients, parents, doctor, other staff members, and community.
Writing Skills:
Letter composition skills.
Legible handwriting for entries in appointment book, patient charts, etc.
Verbal Skills:
Effective verbal skills to communicate with patients and parents both in person and on the telephone.
Pleasant telephone voice.
Problem Solving Skills:
Gentle persuasion skills in order to schedule effectively.
